Getting started with AIER
A role-by-role walkthrough of your first 60-day trial — sign up, stand up your hospital, publish your first schedule, and turn on the AI scheduler.
Sign up & pick a tier
For anyone creating an AIER account — 60-day free trial, no credit card required.
- 1. Create your account
Go to the AIER sign-in page and click Start free trial. Enter your email, a strong password, your first and last name, and a phone number. NPI is optional. No credit card is required.
You'll receive a confirmation email — open it once to verify your address, then sign in.
- 2. Choose your plan
After signing in you'll see Choose your plan. Every account starts with a 60-day free trial — no card on file, no charges.
- Essentials — manual scheduling, calendar sync, shift swaps.
- Intelligence — adds AI schedule generation, fatigue insights, and the rule-learning assistant.
- Complete — full platform with soft-rule learning, prompt evolution, and org-wide analytics.
You can switch tiers at any time during the trial. After 60 days the workspace becomes read-only until you subscribe — nothing you built is lost.
- 3. Pick your starting workspace
On the same screen pick one of two paths:
- Explore in a private demo workspace — a sandbox cloned from our example hospital so you can click around immediately.
- Set up my real hospital — you become the org admin and enter your hospital details on the next screen.
Pick the real-hospital path when you're ready to onboard your team. Continue to the "Org admin" steps below.
Org admin: stand up your hospital
The first user at a hospital becomes the org admin. These steps create the workspace your team will use.
- 1. Create your hospital
After choosing Set up my real hospital you'll be asked for a hospital name, timezone, and country. Submit the form — your organization is created and you become the org admin. You can add additional locations later from Locations.
- 2. Define your shift types
Open Manage shifts. Add a shift type for every recurring shift your department runs (e.g. Day 7a-7p, Night 7p-7a, Mid 11a-11p). For each shift, set the start and end time, category (day / mid / night / backup), allowed days of the week, and any credential requirements.
Shift types are per-location. If you have multiple sites, pick the location from the selector and define shifts for each one.
- 3. Invite providers and assign roles
Open Physicians and click Add provider. Enter name, credentials, and FTE target (1.0 = full time). Each provider can be sent an invite code from Admin → Users to claim their physician profile.
From Admin → Users you can also promote a teammate to Scheduler (build and publish schedules) or to another Org admin.
- 4. Set holidays and rules (optional but recommended)
Visit Holidays to toggle the holidays your group treats as priority days, and Rules to write plain-English scheduling rules (for example, "no more than 3 nights in a row"). AIER parses each rule automatically — you can turn any rule on or off without rewriting it.
Scheduler: build and publish the first schedule
Essentials publishes manually-built schedules. Intelligence adds the AI scheduler and voice rules.
- 1. Open the schedule for the target month
Open Schedule and use the month picker to navigate to the month you want to build. Pick one or more locations from the location selector — selected locations build together in the same pass.
- 2. Essentials: build the schedule manually or with heuristics
On the Essentials tier, click Build schedule to run the heuristic auto-fill. It fills night shifts first, then weekends and holidays, then everything else, while respecting FTE targets, time-off, and opted-out shift types.
Review the result. Drag-and-drop any cell to reassign, or click an empty cell to pick a provider from the dropdown. The detailed walkthrough lives in Create a manual schedule.
- 3. Intelligence: use the AI scheduler
On the Intelligence tier, click AI-assisted refinement in the schedule toolbar. The AI assistant reads your rules, time-off, FTE targets, and historical preferences, then assigns providers across the selected locations sequentially. A progress overlay shows the current location.
You can also dictate scheduling rules with the voice rule button — speak a rule, confirm the parsed version, and it's applied to the next build.
- 4. Publish the schedule
When you're happy, click Publish at the top of the schedule. Published schedules are visible to every provider in their My schedule view and on any synced personal calendar (Google, Apple, Outlook). Providers immediately start receiving swap and time-off notifications for the published month.
Provider: claim your profile and sync
What every physician or APP does on day one.
- 1. Claim your provider profile
Sign up with the same email your scheduler invited, then paste the invite code from the email on the sign-up form (or enter it later from your profile). Your provider profile links automatically.
- 2. Sync your shifts to your calendar
Open My schedule and click Sync calendar. Subscribe once — Google, Apple, and Outlook all stay in sync automatically as the schedule changes.
- 3. Request time off and propose swaps
Use My requests to submit time-off requests or to mark a shift as up-for-grabs. Colleagues can claim it; your scheduler approves the swap in one click and everyone is notified.
